Capture any relevant information required during the
workflow. Create and use custom fields on all or any of
your workflow categories and types. Create text boxes, Notes
Areas, Link boxes, Drop down lists, Tick boxes, Merge fields,
labels, selectors, and derived fields. Indicate size and
formatting, provide help text, nominate defaults, and attach
security permissions. Control what information is captured,
and control who has access to this information.

Tailor email notification

Easy to administer and totally customisable, the notification
tool allows you to send email notifications to anyone impacted
by the workflow, at any stage of the workflow, containing
any information pertinent to the workflow. Notify the Escalation
officer when a work step is overdue. Notify the workflow
creator when a workflow is completed. The notification tool
allows you to totally control how workflow information is
managed and disseminated.

Secure the system down to the individual field level

KnowledgeBase Security secures workflow content from
high level access to the Workflow system, to individual
Workflow Categories and Types, through to individual custom
fields. Create an effective Workflow community by allowing
access to users only where required and, if necessary, restricting
display of confidential information.

to understand your business processes, the role each stakeholder

Document attachments follow the workflow
|

Any digital item of information can be attached to the
workflow. Any stakeholder can submit relevant information
to be stored with the workflow, from a scanned letter, an
email, a document, or an image. This way, all parties have
quick access to all relevant information, and all pertinent
data is stored for future reference if required.

The Ministry can query a work item back to the previous worker with
a question. The work can then be iterated until all parties have
approved the item. Or it can be declined and sent back to the creator
with some more penetrating questions. They use this to gate keep
memo releases or policy preparation. They also use workflow to automate
many processes within their organisation.
QLDC have provided the full workflow facility to their contractors.
Some years ago QLDC outsourced their works and planning functions.
They have provided secure network access to each supplier. QLDC have
even provided the contractors with the facility to add secure custom
fields to store project costing information. QLDC importantly maintain
control of the service level reporting and history.
Because of the seasonal peaks, it is important for Massey to report
by work category, or by staff member, or by work group, across all
months and years. The system provides Massey with ready access to
data to monitor work load trends so they can better resource the
peaks.
